Zanzibar.Camp · December Camp, 14–19 December 2026 · Version 3 November 2026
1. About these terms
In these terms, “we” means Zanzibar.Camp, the organiser of this camp. The camp takes place at Learning Village, Paje, Zanzibar.
2. Registration and payment
- A place is confirmed only when the signed form and payment have been received. Places are limited and given in the order payments arrive.
- Prices and early-bird deadlines are as shown on the registration form and our website when you register. The amount you pay is the one on your invoice. Early-bird prices apply only if your payment arrives by the deadline; if it arrives later, the next price applies.
- The sibling discount is for brothers and sisters only: children who share at least one parent or legal guardian and are registered together in one form. It does not apply to friends or different families registering together. If siblings are registered, the discount applies to every one of them.
- Bank, transfer and mobile-money fees are paid by the sender.
3. What is included
Included: the full camp programme, all meals during camp hours, course materials, one camp T-shirt per child, and for sleepover campers 5 nights in a tent with supervision. Shuttles are included where offered. Not included: travel to and from Zanzibar, visa, the mandatory Zanzibar inbound travel insurance for visitors, other insurance, medical and hospital costs, and personal spending money.
4. Cancellation by you
- Please cancel in writing (WhatsApp or email to info@zanzibar.camp).
- Cancellation received by 30 November 2026 (2 weeks before camp): 50% refund.
- Cancellation from 1 December 2026, no-show, late arrival or early pick-up: no refund.
- Instead of cancelling, you may send another child of the right age in your child's place at no extra cost. Please tell us the new child's details before camp starts.
5. Cancellation or changes by us
- If we cancel the camp, you get a 100% refund.
- Courses depend on sign-ups. Each child ranks their top 3; we plan the courses around these choices, but cannot guarantee a specific course.
- The Zanzibar Town shuttle runs only if enough children sign up. If it does not run, you can bring your child yourself or cancel with a full refund.
- We may change the programme, times or activities for safety, weather or organisational reasons. Such changes do not give a right to a refund.
- If the camp cannot start or must be stopped early for reasons outside our control, we refund the unused days, minus costs already spent. Such reasons include severe weather, unrest, public health measures, and decisions of the authorities, for example if a government office orders the camp to close or stop, withdraws or suspends a permit or business licence, or introduces new rules that do not allow the camp to continue.
6. Health and safety
- You confirm your child is healthy enough to take part and that you gave us all relevant health information (allergies, illnesses, medication, special needs).
- A child with fever or a contagious illness may not attend and must be collected if they fall ill at camp.
- Regular medication: write it in this form (name, dose, times) and hand it over at drop-off in the original packaging, labelled with your child's name. Our first-aid person keeps it safe and gives it as you wrote. Apart from that, we only give the emergency medicines you allowed on this form.
- If a child is sick or hurt but does not need a doctor, a team member stays with them and looks after them at camp.
- In an emergency we give first aid and call you immediately. If your child needs medical care, a team member takes them to the clinic you chose and stays with them. Parents pay all medical costs.
- Trampoline, acrobatics, fire cooking and survival skills are always supervised and follow safety rules explained to the children first. Only children whose parents ticked the trampoline box may use it.
- Camp is active: sports, games, acrobatics, the trampoline, cooking on fire, tools and outdoor activities all involve physical activity. Even with supervision and safety rules, accidents and injuries (such as bruises, scrapes, burns or sprains) can happen. By registering, you accept this risk.
7. Camp rules and behaviour
- Children follow the instructions of the team and treat everyone with respect.
- Taking part: all parts of the programme are part of camp. If your child should not take part in a specific activity (for example for health or religious reasons), please tell us in writing before camp.
- Leaving the campus: children leave the campus only together with a team member. A sleepover camper can spend a night away from camp (for example visiting relatives) only if you request it in writing before camp; requests made during camp cannot be accepted. You can always collect your child early, but there is no refund for missed days.
- Sleepover campers sleep in separate boys' and girls' tents; boys and girls do not enter each other's tents.
- Not allowed at camp: tobacco, alcohol and any drugs; dangerous items such as fireworks, weapons, lighters, firelighters or cooking equipment; pets; game consoles and other entertainment electronics. Please do not bring valuables.
- Phones: children hand their phones to the team on arrival and get them back at the end of camp. Details and reasons: see our Phone policy.
- Discipline: if a child disrupts the camp, we first talk it through with them and contact you. In case of serious misconduct, bullying, violence, theft, endangering oneself or others, or repeatedly not following the team's instructions, we may, as a last resort, ask you to collect your child at your own cost. In that case there is no refund and no further claims.
8. Supervision, safeguarding and pick-up
Our team is briefed on safeguarding and professional boundaries before camp. Male team members do not enter girls' tents and female team members do not enter boys' tents. Team members only touch children where an activity needs it (e.g. sports, first aid) or where it is culturally expected (e.g. shaking hands), and stop immediately if a child feels uncomfortable. They do not start close physical contact such as hugs or carrying children. Romantic relationships between team members and campers are strictly forbidden, and team members do not exchange phone numbers or social media contacts with campers.
We hand children only to you or to the people named in this form. Please tell us in advance if someone else will collect your child; we may ask for ID. Shuttle children are released at the drop-off point as you chose in this form.
9. Belongings and the Farmers Market
Please label clothes and do not send valuables. We are not responsible for lost or damaged belongings.
Everything your child makes at camp belongs to your child. At the Paje Farmers Market, children sell only things they made themselves, mostly food they cooked. Selling is voluntary: each child decides what to sell and takes everything else home. The campers keep the money from their sales, after deducting their costs for materials and the market-stall rent. If sales do not cover the costs, your child owes nothing.
10. Liability and insurance
Health, accident and liability insurance are the responsibility of the parent / guardian. Our liability is limited to the camp fee paid, except where the law does not allow such a limit (for example in cases of intent or gross negligence). Parents are responsible for damage their child causes on purpose.
11. Photos and personal data
See the Photo & video policy and the Privacy notice.
12. Applicable law
These terms are governed by the laws of Zanzibar, United Republic of Tanzania. If one clause is invalid, the others remain valid. Questions: info@zanzibar.camp, WhatsApp +255 673 564 041.
